Refunds and cancellations

These rules apply to quoted field studies, charting packs, monthly briefings, and delay-mapping walks. They do not describe retail goods or couriered merchandise, which we do not sell.

Eligibility

A full refund of a deposit is due if we cancel the assignment before any site day begins. If you cancel more than ten working days before the first agreed site day, the deposit is returned minus bank fees. Later cancellations forfeit the deposit because travel and crew introductions have usually been arranged.

Timeframe

Ask for a refund in writing to hello@panel-birchhub.click within 14 days of the event that grounds the request (our cancellation, a missed start we caused, or a documented failure to deliver the bound report).

Full or partial

If site days have started, we refund the unused portion of the fee after deducting completed observation days, travel already spent, and charting already done. Monthly briefings can be ended at the end of a month; that month’s fee is not refunded once the pack has been issued.

Non-refundable

Printed copies already produced, third-party survey prints you asked us to buy, and nights of lodging already paid for the visit are not refunded.

Process and timing

We confirm the request within five working days and return money by the same method as the original payment within 15 working days of agreement. Deposits paid in cash at the Binh Chanh office are returned in cash there by appointment.

Rescheduling and no-shows

You may move a study week once without extra fee if you give ten working days’ notice. A no-show on an agreed site day counts as a completed day for billing. If blasting or weather closes the pit, we reschedule those hours rather than treating them as a no-show.

Work already started

Draft charts remain ours until the balance is paid. After payment, the bound report is yours as described in the terms.
